Reporting To: Head of Estimation

 

Roles and Responsibilities:

 

Administration Support

 

  • General office administration duties for the Estimation team.
  • Putting together of pre-qualification and tender packs, under the direction of the Estimation team.
  • Liaising with the supply and subcontract chains via email/phone call for the timely delivery of quotations
  • Distributing information to other internal departments, colleagues,  as directed by the Estimation team.
  • Ensure tender filing system is set up and maintained in accordance with company procedures.
  • Maintaining Drawing / Document Register. 
  • Assisting the Estimating Manager and team with tender compilations and compile data in response to requests from clients
  • Compile professional supporting documentation for tender submission
  • Adherence to pre-set deadlines for critical tasks
  • Monitor & maintain internal database (Pipeline)
  • Monitor & maintain internal database (Suppliers & Subcontractors)
  • Compiling all filing systems & archiving
  • Maintain tender timelines on job board
  • Assist in preparation of tenders for submission to clients
  • Arranging couriers for the timely delivery of tenders
  • Providing clerical assistance to Head of Estimation as required
  • Completing quality audit checks on estimators
  • Taking and issuing of meeting minutes for estimation team *       Manage scheduling of tender review and management sign offs
  • Some travel and diary administration for the Estimation team.
  • Meeting co-ordination and set up.

Qualifications/Experience:

 

  • Proficient in Microsoft Office Suite – overall good keyboard skills
  • Document Control (registration, storage and retrieval)
