Heathrow Site Admin

 

The successful candidate will be responsible for receiving and recording and distribution of all documentation for the project. Especially focussing on document control, records management and maintenance of all standard documents within a common data environment.

Overview of duties

 

  • Management of the Request for Information process for the project.

  • Development and management of project filing systems, both paper based and electronic

  • Management of all project logs

  • Management of on site drawing sticks ensuring only latest revision is being used.

  • Management of data input into the Common Data Environment (CDE)

  • Creation, collation, and management of all standard and inspection documents within the CDE as well as all standard document templates

  • Liaising with the project operations staff, suppliers, clients, and design teams daily based on project requirements

  • Preparing and distribution of all internal meeting minutes

Roles and responsibilities

1. Airside Passes – All projects

2. RAMS – All project

  • Uploading Rams on Aconex / Viewpoint / Procore

  • Process incoming statuses on Viewpoint / Procore

  • Updating the Register

3. Tech Subs

  • Uploading Aconex / Viewpoint / Procore

  • Process incoming statuses on Viewpoint / Procore

  • Updating the Register

4. Deliveries – All projects

  • Update Register

5. IR’s

6. Uploading Incoming External drawings on viewpoint / Procore – All projects

7. H&S Returns – All projects

  • Training Matrix

  • Fieldview – H&S Returns Only

  • DG Induction

  • Mace Induction

  • Data Scope

  • Yellow Jacket (collating info – H&S Returns)

8. Asset screening – Adding asset information on Maxinet

9. Other responsibilities as directed by the site team

Key Requirements

  • 3 years + strong administration experience

  • IT literate with good working knowledge of Microsoft Office, Word, Excel, as well as experience with document control software (4 Projects, Asite etc)

  • Ability to prioritise workload according to deadlines

  • Strong attention to detail

  • Ability to work unsupervised and to a high standard

  • Good communication skills and the ability to work as part of a team.
